SMART REPORTING DOCUMENTATION: OPTIMIZED REPORTING AND WORKFLOW MANAGEMENT SYSTEM WITH AI & GIS INTEGRATION

Abstract

The increasing complexity of organizational information management in public institutions has created an urgent demand for intelligent systems that improve efficiency, standardization, and decision-making. In legislative environments such as the Indonesian House of Representatives (DPR RI), political party factions like Partai Demokrasi Indonesia Perjuangan (PDIP) face challenges including fragmented workflows and unstructured documentation. This capstone project proposes a Smart Reporting Documentation System to address these issues.

The system includes four main features: AI-powered report creation with speech- to-text and summarization, workflow monitoring with task tracking and dashboards, a

smart attendance system using facial recognition and GPS validation, and GIS integration for constituency mapping. Among several alternatives, a Digital Document Management System was selected as the primary solution due to its ability to centralize information, automate approval workflows, and enhance accessibility. By digitizing core operational processes, this project aims to enhance work efficiency, documentation quality, and staff adaptability within the PDIP Faction, ultimately contributing to a more modern and effective legislative environment.
